Instant book campervan hire: what it means on Outdoorsy

On Outdoorsy, a listing with Instant Book turned on is confirmed as soon as you submit your details and payment. Outdoorsy's help pages say your card is charged for the initial amount and the owner is told by email. A listing without it works as a request instead: the owner has 24 hours to accept or decline.

How to find instantly bookable vans

Run a search with your pickup location and dates, then scan the results for the lightning bolt icon. Outdoorsy's help pages describe that icon, and they list filters for vehicle type, price, beds and amenities, plus sorting by recommended, closest, price or top-rated. They don't describe a dedicated Instant Book filter, so check each result rather than assuming one exists.

Owners choose how it applies. They can allow Instant Book for all trips, only for pickup trips, only for stationary delivery, or turn it off. A van may therefore be instant for one way of getting it and request-only for another. The button on the listing tells you which: it reads "Instant Book" or "Review request".

Not sure where to start? The guide to finding a rental near you covers widening the radius. In the UK, the motorhome hire guide and the camper van hire guide explain what each type offers.

When Instant Book helps

It earns its place when time is short or the dates cannot move: a ferry crossing, a festival, a wedding weekend, or a school holiday week when good vans go quickly. You do not lose a day waiting for a reply and then find the van has gone.

Instant Book suits you if:

  • you have fixed dates and a short window to book;
  • the listing already answers your questions (mileage, pets, pickup);
  • you are comfortable paying in full at checkout, which Outdoorsy requires for any booking made less than 30 days before departure.

A request may suit you better if:

  • you have an unusual need that the listing does not cover;
  • your dates are flexible and you would like the owner to confirm first;
  • you want the option to withdraw before the owner accepts, which Outdoorsy's policy allows for a full refund.

What to check before you tap book

Cancellation tier and grace periods

For bookings made from 2 February 2026, each owner picks Flexible, Moderate or Strict. All three refund the rental amount in full if you cancel more than 30 days before departure. Inside 30 days, they differ:

  • Flexible: 50% back at 30 days or fewer.
  • Moderate: 50% back between 8 and 30 days, nothing at 7 days or fewer.
  • Strict: nothing back at 30 days or fewer.

The grace period matters most with instant bookings. Once a booking is confirmed, you can cancel for a full refund of the rental amount within 24 hours if departure is more than 7 days away, or within 1 hour if it is less than 7 days away. Outdoorsy's pages disagree about a trip exactly 7 days away, so treat that as 1 hour. There is no grace period for same-day bookings. Outdoorsy also says its service fee is never refundable, so check the refund amount shown on the cancel screen before you confirm. Read Outdoorsy's cancellation policy before you commit.

Mileage and generator

Rentals usually include a set number of miles and generator hours, then charge for extra use. The listing shows the allowance and the rate, so check both against your route.

Fees, deposit and protection

Outdoorsy adds a 10% guest service fee. The security deposit is set by the owner, with a minimum of $500 for most RVs ($1,500 for a Class A). It is a hold on your card, not a charge, placed two days before departure and released after the trip unless the owner makes a claim. UK excess is typically £500 to £2,500, and the listing shows the detail. Roadside assistance is an optional extra, not part of the standard protection package. For wider costs, see what an RV costs to rent, UK campervan hire prices and which insurance matters.

Pets, drivers and handover

  • Pets: each owner sets the rules, size limits and any fee.
  • Driver age: Outdoorsy's protection normally needs drivers aged 25 or over. Drivers aged 21 to 24 can book only listings in the US or Canada, and with limits: vehicle value under $75,000, no Class A or fifth wheel, the Essential or Stationary protection package only, and a $25 a night young driver fee. Outside the US and Canada, check the listing and the owner's rules before you book.
  • Pickup or delivery: delivery is optional, and the owner sets the fee, shown before you confirm.
  • Reviews: read what previous renters say about the owner and the van. Our Outdoorsy review explains how the platform works.

What happens after you book

You get confirmation straight away, and the full pickup address appears once the booking is confirmed. Until then you only see the town or city. Message the owner to agree a handover time and ask about extras, generator use and what to do if something goes wrong on the road.

Before the trip starts, every driver must pass Outdoorsy's driver verification, which uses your phone and your driving licence. Visitors from outside the US and Canada also need a passport, and the check can take a day or two, so start it straight after booking. Without verification, the protection package is not active. You can also sign the rental contract in the Outdoorsy app at any time after confirmation.

At pickup, allow 30 to 60 minutes for the walkthrough and the condition photos, which you take with the camera in the Outdoorsy app. Allow about 45 minutes at drop-off. Bring your licence and your phone with the app. If you still need to compare options, search for your dates first.

For owners

Owners decide whether to offer Instant Book, and can switch back to approving requests whenever they like. Outdoorsy pauses it for 45 days after a second availability-related cancellation within six months. Thinking of listing a van? See how to list your motorhome.

Instant booking FAQs

Can an owner cancel an Instant Book booking?

Outdoorsy says owners may cancel if the renter does not meet their stated rules, and should do so straight away. If an owner cancels, the renter receives a full refund of everything paid.

What if the listing is not Instant Book?

Your request goes to the owner, who has 24 hours to accept or decline it. Before they accept, you can withdraw for a full refund.

When is the security deposit taken?

It is a temporary hold, placed on your card two days before departure. Outdoorsy says most holds are released seven days after return. An owner can extend it for up to 30 days while waiting for a final bill, and an open insurance claim keeps it in place. Some listings offer a Security Deposit Waiver instead.

Do I need to be verified before I book?

No. You must complete driver verification before the trip starts, and every driver must be verified for the protection package to apply.

Does Instant Book cost extra?

Outdoorsy's fees page lists a 10% guest service fee on bookings and does not describe a separate charge for Instant Book. The checkout page shows your total before you pay.
